A free bike rental profitability calculator for rental shops
Free bike rental profitability calculator: revenue, break-even occupancy and payback period in about three minutes, with no sign-up.

We have released a free bike rental profitability calculator. It runs online, needs no sign-up and gives a result in about three minutes: annual revenue, result for the year, break-even occupancy and payback period. Every default value can be changed, so the figures describe your project rather than ours.
Why a bike rental profitability calculator
BikUp Pro is being built with bike rental shops: features are discussed with them and the roadmap is open. In those conversations one question keeps coming back, from people about to open a shop and from shops thinking of adding bikes to their fleet: will it pay?
A purchase price, a day rate and a number of rental days are easy to multiply. Rent, insurance, maintenance, wages and loan repayments are easier to forget. We wanted a tool that puts all of them on one page and shows straight away what changes when a single assumption moves.
It can also serve as a bike rental business plan calculator for a first draft: a way to test an idea before spending time on a full forecast.

What the calculator works out
The results update live as you type. The page shows:
- A verdict, with annual revenue and the result for the year.
- The break-even point, expressed as the occupancy rate you need to reach.
- The payback period on your investment.
- A waterfall from revenue down to the result, which shows where the money goes.
- A chart called 'What weighs most on your profit', which measures how sensitive the result is to each parameter.
- Cumulative cash month by month over five years, with seasonality.
- Three scenarios: cautious, expected and optimistic.
- Advice adapted to the figures you entered.
You can receive the report by email, print it as a PDF and share your simulation with a link.
How to use it in four steps
- Your project: the area and type of activity, then the season, with high season, the rest of the season and opening days.
- Your fleet: bike categories, number of bikes, purchase price and day rate.
- Your activity: occupancy rate in high season and outside it, share of half-day rentals, extras sold per rental.
- Your costs: rent, insurance, maintenance, wages, software, marketing, payment fees and loan.
Each field starts with a default value. Replace the ones you know and keep the others until you have a better figure.
One note on the software line: BikUp Pro prices are not public yet, because they are being set with the shops in the beta programme. Enter what you pay today, or the budget you have in mind.
About three minutes, with default values you can change.

Reading the results
Start with the break-even point. Compare the occupancy rate you need with the one you expect: the gap between the two is your safety margin. When it is small, a wet month or a late opening is enough to change the outcome.
Then look at the sensitivity chart. It tells you where your attention is best spent: if the day rate or the occupancy rate weighs far more than a cost line, negotiating that cost will not change much. Purchase price matters most for electric bikes, a point we cover in our article on e-bike rental profitability.
The cash curve shows something the annual result hides: the months when money goes out and little comes in. If your activity depends on summer, read it alongside our guide to bike rental seasonality.
Finally, compare the three scenarios, beginning with the cautious one. A simple method is to open the calculator, change one value at a time and watch what moves.
A worked example with the default values
The default values describe a fleet of 15 bikes, 11 of them electric, bought for €34,600 and rented from April to October. With these assumptions the calculator gives €30,987 of revenue a year and a break-even point at 29.5% occupancy, against 33.3% planned.
At the scale of a single bike: an electric city bike bought for €2,000 and rented 60 days a year at €30 a day brings in around €1,850 a year in the simulation.
These figures are an example to adapt, not a market average. They also show how to read a result: between 29.5% and 33.3% the margin is under four points, so in this example a slightly lower occupancy rate would bring the project close to its break-even point.

Its limits, and what comes next
The calculator gives an order of magnitude. It is not an accounting forecast and it is not financial advice. The results depend entirely on the assumptions you enter: an optimistic occupancy rate produces an optimistic result. Before you borrow or sign a lease, go through your figures with an accountant.
This is a first version, and we would like to improve it with the people who use it. If a cost line, a bike category or a type of activity is missing, tell us: it is the same approach as for the rest of BikUp Pro.
